How to Set Up Instant Emails

Instant emails are the easiest way to give quick feedback on a specific audit. Instant emails are sent immediately upon clicking the send button, and they only refer to one audit, instead of all of the audits within a timeframe. They are not sent automatically, instead, the QA team generates and sends instant emails as they review audits. Instant emails are best used for one-off feedback or quick reminders to your clinicians.

How to Send Instant Emails

  1. Go to view an audit, and click the email icon shown below:

  1. Tailor the standard email to your preferences or select an instant email template, choose recipients and hit send now:

Email Templates (Instant)

Instant email templates are a helpful way to set up a standardized email, which can be sent out by anyone on your Brellium instance, whenever they choose. See the step-by-step process of setting up instant email templates below.

  1. Go to Emails —> Email Templates, and click the plus button shown below to create a new email template:

  1. Select “Instant (manually sent through audits details page)” in the template type field:

  1. Create an email template, using variables to refer to specific fields of an audit

Instant email templates can be customized with any combination of text and variables. For an explanation of the different variables, see the table below.

audit.audit_date

Date of the audit (typically the date specified by EMR)

provider.name

Name of provider

audit.question_answer_feedback_list

List of questions failed, reason for fail/critical error, feedback

reviewer.email

Reviewer email

audit.responses_with_remediations

Reason for failure or critical errors

audit.score

Percentage score of audit

audit.session_date

Date of session

bcba.name

Name of the BCBA, typically the same as provider for 97155 notes and a separate name for other note types

provider.email_display_name

Preferred name for provider (will fall back the on actual name when blank)

  • Question: Are there four sentences in the session description?

    • Reasoning: The session narrative does not contain at least four sentences. The session narrative contains 3 sentences.

    • Feedback: One or more of your session notes had fewer than four sentences in the description. Within the 'Description' section, a brief summary of the session will include some sort of measurable detail(s) not mentioned in the above sections of the notes should be included here. Please keep in mind that the description must include full and complete sentences for documentation purposes and only include objective information (no opinions). A good description can consist of 4-5 full sentences; the more detailed, the better! A description must be unique from session to session (no repeats between notes).

  • Question: Is the client not referred to by a nickname?
