Pull Schedule

Daily at 9am EST

Pulling all Psychiatry/Therapy notes that have been completed within the last 24hours

Beginning of the day - Critical Errors

  1. To start your QA process for the day, go to Audit Results and open the Filter option at the top

  2. Add the following Filters:

    1. Date Range: Select the last weeks audits

    2. Audit Flag: Select Critical Error

    3. Location: Select the locations/providers you are responsible for reviewing

    4. Review Status: Select “Not Reviewed”

    5. Apply the filter

  3. Sort the resulting table by Provider so that you can give feedback to providers one at a time.

  4. Click “View Audit” on the first row of audits and then you will be able to go through the audits in the order that they appear in the summary.

  5. For each Audit:

    1. Check the errors that the note had, and ensure that the question which is marked as a ‘Critical’ is being answered correctly:

      1. If you find that you disagree with the response of the ‘Critical’ question, you can double click on the answer and change it as needed. You can also share feedback using the comment box to the right of each question to let us know if the question’s logic to be changed.

      2. You can also comment on the audit by clicking the small chat icon in the top right. You can note down anything you want or mention one of your team members using the “@” symbol if you’d like them to take a look at the note as well.

      3. Once the note has been reviewed, click ‘Mark Reviewed and Next’ to move on to the next note. Marking the note ‘Reviewed’ is a good way to make sure that the note is not seen by another member of the team accidentally and it will not show up when you filter for notes in the future.

Each Week - Critical Errors

Once the Critical Error audits are gone through, you can repeat the above process for notes that are marked as “Failed”. The check for failed failed can be less strict since these audits will not be prompting the provider to make immediate edits, however they will factor into their overall audit score for a given week / month. We recommend looking at failed audits on a weekly basis, as well as looking at any notes that still have comments on them - either left by yourself or other members of the team.

End of the week

New Providers:

If you have a list of your new providers, it may make sense to go through their audits for the week. Even if they have minor errors, it is probably best to catch those early so they keep doing well and so that they know someone is looking at their notes. You can filter by “Provider” and then select any new providers that you’d like to review.

Important Questions:

If there are any questions you are particularly interested in that are not marked as Critical, on Thursday or Friday you can go through all audits that fail these questions. I would recommend using the same filters as in “Beginning of the day”, but just removing the filter for Audit Flag and replacing it with a flag that applies to a question or group of questions. For example “RBT Goals” would allow you to filter on any notes where RBT’s might need training regarding goals data. This will ensure that no audits slip through the cracks that are failing important questions or groups of questions.

Continually

It is helpful to keep track of providers that are continually failing Critical questions. You can use Trend Data to get an accurate view of people’s average scores and their scores per question. If you find that a particular provider is not improving week over week, or they are struggling on critical questions you could set up some time with them to discuss.
